From Lotus Notes to Digital Contract Management

A large enterprise in the Hungarian energy sector, playing a key role in the country’s electricity supply and engaged in diverse, cross-border activities within the industry.

Challenge

Due to the complexity of its operations, our client generates a large number of individual contracts, making contract management a complex and time-consuming task. Previously, contract processes ran in a custom Lotus Notes–based system with dedicated workflow support.

While the system once aligned well with business needs, over time it became outdated, unsupported, and inflexible, with a user interface that no longer met modern expectations. It did not effectively support collaborative document editing, responded slowly to business demands, and ultimately hindered efficient contract execution.

Solution

Within the project, we implemented the Abylon Docuflow platform, fully replacing the legacy Lotus Notes solution. The platform enabled automated, transparent, and traceable workflows for contract management. Users gained full visibility into tasks, responsibilities, and process stages, significantly reducing turnaround times and minimizing errors.

We also established a SharePoint-based contract repository for structured, searchable storage of documents. Instead of email-based reviews and version exchanges, a centralized, well-regulated solution now ensures real-time collaboration, including parallel editing. To complete the contracting process, we integrated e-Szignó digital signatures, making approvals faster and more user-friendly.

Docuflow’s modern, intuitive interface greatly supported user adoption. Thanks to the Office 365 and SharePoint integration, the outdated user experience was replaced with a logical, easy-to-use system, making document management and approval processes more transparent, efficient, and well-regulated.

Results

The introduction of Docuflow made contract management more transparent and significantly faster. Its modern, intuitive interface simplified collaboration, enabling employees to manage their daily tasks much more efficiently.
