New features of the Docuflow document workflow automation platform
About Docuflow
Docuflow is a modern, easy-to-use web-based document review and approval application primarily for SharePoint-based document workflows. With Docuflow, companies can create automated, custom document workflows to enable faster review and decision-making, and more transparent, compliance-friendly processes.
Moreover, for typical enterprise workflows, such as reviewing procurement documents, reviewing contracts or policies, or preparing executive proposals, easily customizable off-the-shelf modules are available. These modules allow to implement Docuflow virtually in a matter of weeks.
We are constantly evolving Docuflow to meet emerging customer needs and to improve the platform’s ease of use. The new version of Docuflow includes more than 100 updates. Below we have listed some of the most important UI/UX and functionality improvements.
New features
Group tasks, waiting list
From now on, tasks can also be assigned to groups not just individuals. The task appears in the waiting list of group members, from where any member can pick it up
Introducing the observer role
The observers are given view access to the process. The process is available from the search engine, but does not appear in the task lists.
Task transfer
Open tasks can be handed over to another user by the person performing the task.
Process owner role
The process owner has access to the report function of the given process and can access all the elements of the given process from the Administration menu.
Confidential data handling
The confidentiality option can be enabled per process type. Confidential documents cannot be delegated, issued to a group, deputies cannot see them, etc…
Display document changes
Docuflow displays the number of unaccepted changes and comments next to the attached Word documents. When starting a new round of review, it warns you if there are changes or comments in the document.
Document editing options
The user interface will indicate more clearly what rights the participants in the process have on the documents (Observer, Reviewer, etc..).
Process specific fields in the history sheet
For each Docuflow process, you can download a PDF document showing the historical overview of the process. From now on, the process-specific fields will also appear on this PDF document.
Switch notifications on/off
User notifications can now be turned on/off. Furthermore, to reduce the number of notifications, by default, the document owner will only be notified when all tasks in the phase are completed.
Reporting
The report function provides detailed data on process data and events in Excel format.
SharePoint integration
The Docuflow SharePoint integration plug-in has the following new features:
- Scheduled publishing – the time of publishing to repositories can be configured.
- Privileges – set individual rights to published documents, e.g. an organisation can only see its own contracts
User interface developments
Updated, compact UI and more transparent task list
We’ve updated the main user interface making it lighter and more compact. The task list has also been made more compact and easier to read.
Showing deputy roles
In Docuflow, it is possible to set up deputies or assistants, facilitating faster turnaround even in case of illness or holidays. Information on who has set up a certain user as a deputy is now also available on the user profile page.
User/Name templates
Lists of participants or observers can be saved as templates and reused later.
Multilingual interface
Docuflow supports a multilingual interface.
