Abylon Docuflow: New Features and Improvements

The new version of Abylon Docuflow has been released with a number of new features. Docuflow is an enterprise workflow automation platform, integrated with SharePoint, to make document review and approval workflows more efficient and transparent.

Docuflow is continuously being enhanced to meet emerging customer needs and to improve ease of use and optimisation. Below we highlight the most important UI/UX and technical improvements.

Features for users

To better align with user habits, the sorting logic of the My Tasks and Issued task lists has been updated so that the most important tasks always appear first.

In the My Tasks list, tasks with a due date on the current day appear at the top, followed by items issued by and returned to the Document Owner, and then other incoming tasks in order of arrival.

In the Issued list, tasks with the earliest due dates also appear at the top, with the remaining tasks following in order of their arrival.

Previously, only the entire set of documents could be downloaded at once. From now on, any selected file can be downloaded individually. The option for bulk download remains available.

A new feature has been introduced that allows the system to automatically invite a user to the next round(s) if they have taken on a task from a group. This means that it is not necessary to invite the entire group again at each step – the system automatically takes the person selected from the group further in the process.

When selecting a group – for example, during the configuration of a process step – it is now possible to view and verify the group members. The member list can be accessed by clicking on the group name or by hovering over it. This feature is available when the form is in editable mode – for example, during preparation, when starting a new round, or modifying the form. It helps ensure more accurate configurations and enhances transparency.

Technical modifications

We have optimized the task loading process so that tasks now appear more quickly and smoothly for users.

An automatic solution has been introduced to handle the limitations imposed by SharePoint, so users can continue working with documents uninterrupted.

For online SharePoint, ACS-based authentication has been replaced by SPFX, in accordance with Microsoft’s requirements. The change is intended to ensure long-term compatibility of the system.

The Launchable process configuration feature allows you to specify whether a new process should be launched directly from the Launch new process interface or only from a process linked from another workflow. The function supports the creation of interdependent workflows along a defined business logic, making it easy to create more complex interrelated processes.

Bug fixes

Deputies and assistants can now also start related processes.

A bug has been fixed that prevented users with process administrator privileges from seeing associated processes. With this change, they now have full access to this information. 

PDF attachments now open in a new window, allowing the main workflow to remain open.

We have improved the visibility of required fields located in collapsed form sections. From now on, if such a field exists in a collapsed section, the form section will automatically expand and the form will scroll to it, providing clear feedback to the user about where action is still needed.
